Plush gifts for corporate conferences: Defining the order brief
Agree on recipients, design, logos, quantities and delivery milestones for conference plush gifts before discussing production with Phat Dat.

Diagram for preparing a corporate conference plush gift brief.
Conference plush gifts should suit the recipients and reflect the company's message. An event date and a reference photograph leave many important questions unanswered: who will receive the gifts, whether there is a company mascot, and whether the order needs individual gift packs or delivery to one central location.
Start with the recipients and distribution method
Identify the recipient group, intended use and estimated quantity. Desk gifts, travel-friendly gifts and toys with hanging attachments have different size and accessory needs. If gifts go into existing bags, provide the bag dimensions to assess the fit.
For illustration, a conference has 300 registered guests and the organiser plans 20 additional gifts for unexpected attendees. The brief should distinguish 300 main gifts from 20 spares instead of treating attendance as an automatic purchase commitment. This example explains how to prepare a brief; it is not a completed Phat Dat project.
Agree on design, logo placement and budget together
The design can develop from a corporate mascot or another concept you have permission to use. Supply drawings, references, dimensions and essential identifying features. For a logo, provide the artwork, colours and preferred position; a small image in a message should not become the final approval reference.
Clarify whether the budget covers only the products or also sampling, personalisation, packaging and delivery. Choosing a complex design and changing only the quantity may not preserve the budget. Technical options, samples and prices require confirmation for the specific brief.
Work backwards from the organiser's receiving date
Distinguish the conference date from the date goods must arrive for counting, sorting and transport to the venue. Set milestones for design approval, sample approval, quantity confirmation and delivery. Discuss the schedule implications of any later changes to logos, dimensions or packaging.
Phat Dat manufactures stuffed toys for domestic and international markets. For overseas events, add the receiving location, logistics contact and buyer-supplied labelling and packing requirements. A sample brief does not establish transit times or certification; market requirements need separate verification.
Before sending your enquiry
- Recipients, main quantities and spare quantities are clearly distinguished.
- Design, dimensions, logo and permission to use the artwork are identified.
- The budget states what is included and excluded.
- The required arrival date is separate from the conference date.
- One approval contact and the domestic or international destination are identified.
